What is Messages?
Messages allow you to send and receive messages to and from your tenants.
How to Use the Feature
You can access Messages from three different places:
- From the Navigation Bar (for new and open Messages)
- From the Property (for open Messages)
- From Notification (for open Messages)
Under the Messages tab in the Navigation Bar you'll find all messages and the ability to filter by:
- Properties
- Open and Archived Messages
- Search by key words
Start a New Message
You can start a new Message by choosing that option in the top, left-hand corner of the Messages section:
From there you will choose a Property.
If you have two (2) or more tenants assigned to the Property, you will see the option to choose one (1) or both Tenants to start a conversation with. If you choose both Tenants, you will see an option to either combine the conversations or send separately. It will look like this:
Once the Message is sent, all recipients will receive an email alert and a new chat will open up under the Message section in your account.
You will see that all new Messages are marked as Unread:
and will be moved to the top of your list.
Once you click on the Message that you would like to open, you'll see chat open. It looks like this:
From here you can:
- Respond with text to the Tenant(s)
- Add a Private Note to the Message Thread
- Attach a File
- Search the Message Thread
- Archive a finished Message Thread
- Download the Message Thread
Responding with Text
This will allow you to answer your Tenant's message via written text. This will be available to read within your Landlord Dashboard and their Tenant Portal.
Add a Private Note to the Message Thread
You can toggle over to a Private Message by choosing the Lock Button in the middle of your options. If it is a Private Message the button will turn red and the lock will show as locked. The text will also be shown as red.
You will use the blue Send button to send that and, once you do, that Private Message will appear in the Message Thread, but it will be marked as Private.
The Tenant will not see a message marked as Private.
You will need to click the red button again to toggle back to shared messages.
Attach a File
You can attached a file by choosing the purple button to the far right. A browse option will pop up and you can upload a document:
The file will be sent and an email alert sent over to the Tenant. They will need to log in to download the Addendum.
Search the Message Thread
You can search a Message Thread by choosing the Search option in the top, right-hand corner. You can search by key word using this option.
Archive a finished Message Thread
When a Message Thread is finished, you can choose to Archive that by choosing the Settings icon in the top, right-hand corner and choosing the Archive option.
This will remove it from the Open Messages. You may access the message at any time under the Archive Messages.
If a Tenant responds after it is Archived, the Message Thread will re-open and will be tagged as unread.
Download the Message Thread
To download the Message Thread you will go to the Settings icon in the top, right-hand button and choose the Download Message option.
A PDF of your Message Thread will download to your device. This will include your Private Messages.
